Approach & Methodology

CLC Toolbox supports nonprofit teams in their adoption of progressive tech tools. Office Hours provide a dedicated space for you to bring your EveryAction and data-related questions. These are flexible sessions, where you direct how our time is spent. Usually, clients use the time to answer immediate questions, address roadblocks and talk through data strategy questions.

While EveryAction is a robust and customizable tool, it comes with a steep learning curve and limited training resources. We meet every learner where they are, regardless of technology and/or CRM experience, to bridge the confidence and knowledge gap. We aim to demystify your database using the problems staff are facing that week. This builds confidence in the tool and needed skills in your team. We offer a variety of approaches to accommodate different learning styles and to emphasize core points in different contexts. Our approach is participant-driven and responsive, and based in a relationship between CLC and your organization. 

All Office Hour bundles include three training formats—Office Hours, Handbook, and Toolbox—each explained below and facilitated by a dedicated Project Lead.

Office Hours

Office Hours provide a dedicated space for client teams to ask questions. We can host drop-in sessions to your whole team, or they can be one-on-one sessions for key roles. Office Hours are intentionally unstructured, which encourages team members to bring questions that are relevant to their day-to-day use of the database. Usually, people use the time to answer immediate questions, address roadblocks and talk through data strategy.

During Office Hours we reiterate learnings, workshop ideas, and troubleshoot via screen share. We find that this builds both user skills and replicability, setting client teams up to more confidently problem-solve next time.

Benefits of Office Hours include: 

  • Interactive screen-sharing. CLC hosts Office Hours virtually on Zoom, where, to build familiarity with EveryAction, we walk you through the steps while you make the clicks yourself. 
  • Flexible scheduling. Sessions can be scheduled either at a repeating time or as-needed (with a 1 day turnaround time) using a Calendly link. 
  • Group or one-on-one sessions. You can invite your whole team to popcorn questions or time can be dedicated to specific people.
  • Recorded training. If requested, we can record the Q&A for future reference; clients have used this to create mini-trainings on common workflows.

Custom Handbook

Maximizing the use of nonprofit databases requires all team members to be on the same page about how the system is set up and how codes are used. As best practices are identified in Office Hours, CLC documents org-specific structures and data standards in a custom Handbook. The Handbook is saved as a Google Doc to allow for future updates and maximum accessibility for your team.

Benefits of creating a Handbook concurrently with Office Hours include: 

  • Capturing workflow decisions made by the team, with any notes about thought processes in case it needs to be revisited in the future. This sets up future database administrators to understand and iterate on the current set up, without needing to reverse-engineer processes.
  • Establishing best practice standards early on, so the team can avoid the mess and headaches of cleaning up past discrepancies.
  • Cataloging FAQs custom to your org, so new users can answer common questions without sifting through other help docs or resources.

Toolbox Access

The 🧰 CLC Toolbox is the culmination of over two years of work from our team to create 200+ guides to sustain, deepen, and level up EveryAction and VAN use. The 🧰 Toolbox compiles best practices and strategies in making the most of Bonterra products – rooted in common needs across dozens of diverse nonprofit organizations.

Based on the pain points we’ve seen across client projects—needing support getting up to speed on a new system, trying to avoid reinventing the wheel to train new team members as they join, working within tight budgets—we developed this 🧰 Toolbox. We hope it provides a new avenue for accessible self-guided database learning and customization.

During an Office Hours bundle, all team members at an organization get free access to over 200 guides and courses hosted on the 🧰 Toolbox! This allows teams to progress through courses at their own pace and then bring clarifying questions about implementation in their system to Office Hours. There are two types of courses in the Toolbox.

Click-Through Guide Courses 

“Click-through” guides walk a learner through each click needed to execute a function. Each lesson advances the learner to an end goal. Helpful tips are scattered throughout.

Interactive Courses 

There are currently three full courses: EveryAction Fundamentals, Targeted Email 101 and Newsletters. These courses provide learners with opportunities to practice tasks and quizzes to check understanding.

Dedicated Project Lead

A huge value-add of the Office Hour bundles is the inclusion of a dedicated Project Lead. They are your team's main point of contact. This structure promotes consistency in approach and facilitates deeper understanding of your organization’s unique context and challenges.

As additional checkpoints, the Project Lead

  • Emails a follow up summary so your other team members can stay in the loop even if they don’t attend. When relevant, they also include links to CLC Toolbox guides, to direct your continued learning.
  • Manages an Asana board for each contract to track progress toward goals, project timelines and budgets. 
  • Sends progress updates, which includes any next steps and potential roadblocks relevant to your team’s projects.


One dedicated Project Lead will be assigned based on alignment with your goals & team availability.

Bundle Pricing

Purchasing a bundle secures a set number of hours of support from our team. In addition to time hosting Office Hours, bundles include time for the Project Lead to send summary emails, share additional resources, create a basic Handbook and coordinate with EveryAction Support. Project time is internally tracked using Toggl, a time tracking software, which allows for maximum accuracy in tracking.
